How to Use the Manager’s Portal

Once you have the members of your team, you can now start managing your employees’ requests and information.

Dashboard

The Dashboard displays the daily statistics of your team’s attendance and requests.

Attendance Monitoring

For the Attendance Monitoring, you will see the total number of your team members, who among them are present for the day, who are absent, who among them are enjoying their rest day, and who are on leave.

Dashboard

The Dashboard will also show the employees’ log in and log out records with their designated shift schedules, and their daily status for attendance.

Requests Counter

For the Requests Counter, you will see the pending employee requests that need your attention and approval. The requests that are included in this section are the Leave Requests, the Overtime Requests, The Change Shift Requests, and the Official Business Requests.

My Team’s Portal

On My Team’s Portal, you will see all the features that can help you manage your team more effectively.

My Team

The My Team section will show you all the members of your team and a few information, such as their email address, phone number, the department and branch they are in, and their rest day.

 

Daily Time Records

The Daily Time Records (DTR) section will display the team members’ attendance records on a specific payroll cycle that the manager will choose.

Team’s Attendance Table

The Team’s Attendance table will show the employees’ names, branch, shift schedule, the total number of days the employees worked, and the number of days they were on leave, absent, late, worked undertime, and worked overtime.

You can see a more detailed presentation of the employees’ DTRs with all their log in and log out record for the whole cycle or date range by clicking on the Menu icon under the Details column.

Employee’s Individual DTR

The employee’s individual DTR table will also show the FaceDTR record of the employee, the number of regular minutes that the employee worked, the number of minutes they were late, worked undertime, overtime, and the minutes they work with night differential pay and/or night differential overtime.

You will be able to see a more detailed view of the employees’ DTRs with all the types of overtime, night differential, and night differential overtime specified in the table by clicking on the Toggle View button on the upper right part of the table.

You can also manage the employees’ rest days and working days by clicking on the RD/Shift button beside the Toggle View button. Once the RD/Shift is turned on, the Work Day Type column will appear on the individual DTR table.

DTR Table Legend

You will also see a Legend under the employees’ DTR table, specifying which days in the payroll cycle are regular holidays, special holidays, rest days, or which ones the employee was on leave.

You can also choose the date range that the Team’s Attendance Table will show by clicking on the Date Range field above the Team’s Attendance Table.

 

Leave Applications

The Leave Applications under My Team’ Portal will show the team members’ leave requests.

Leave Request Table

The Leave Request table will show when the leave request was filed, the name of employee who filed it, the leave type, the number of days and the dates that the leave will cover, the purpose of the leave, and the status. The table will also show what actions the manager can take, whether to approve them, disapprove, or leave them as pending.

You can also choose the date range that the Leave Request Table will show by clicking on the Date Range field above the Leave Request Table.

 

Official Businesses

The Official Businesses Approval section under My Team’ Portal will show the team members’ official business requests.

Official Business Request Table

The Official Business Request table will show when the request was filed, the name of employee who filed it, the days and the time that the trip will cover, the purpose of the trip, and the status. The table will also show what actions the manager can take, whether to approve them, disapprove, or leave them as pending.

You can also choose the date range that the Official Business Table will show by clicking on the Date Range field above the Official Business Table.

 

Overtime

Under the Overtime Approval section, managers can work on the rendered overtime of their team.

This section is divided into two subsections – the Post-Render OT, and the Pre-Render OT.

Post-Render OT

The Post-Render OT subsection will display the overtime that the employees have already rendered. This will display the requests that the employees have filed, and that will need the managers’ approval.

      • Overtime Requests Table

The Overtime Request table will show the employees’ names, branch and department designation, shift schedule, the number of overtimes rendered for the date range, and the total number of minutes of their rendered overtime.

You can see a more detailed presentation of the employees’ overtime for the whole cycle or date range by clicking on the Menu icon under the Details column.

      • Individual Overtime Table

The employee’s Individual Overtime table will also show the date of the overtime, the status of the requests, the number of minutes of approved overtime, and the action that the manager can take – either to approve, or to disapprove the overtime rendered by the employees.

The manager can click on the arrow symbol beside the date to see more information about the overtime request, such as the actual number of minutes the employee has rendered, the purpose of the overtime, and the file attachments the employee has added, if there are any.

 

Pre-Render OT

The Pre-Render OT subsection will display the employee requests for the days they will need to work extra hours for. This will display the employees’ requests that will need the managers’ approval.

      • Overtime Requests Table

The Overtime Request table will show the employees’ names, shift schedule, the date, the time range, the purpose, and also the status of their overtime. The requests can be approved or disapproved by clicking on the symbol under the Details column.

You can also choose the date range that the Overtime Table will show by clicking on the Date Range field above the Overtime Table.

 

Change Shift Requests

The Change Shift Requests section will let the managers be notified of the employees’ need to change their work hours.

Change Shift Request Table

The Change Shift Request table will show when the shift request was filed, the name of employee who filed it, the current shift they have, the shift schedule they requested, the date range that the shift change will cover, the purpose of the request, and the status. The table will also show what actions the manager can take under the Action column, whether to approve or disapprove them.

You can also choose the date range that the Change Shift Request Table will show by clicking on the Date Range field above the Change Shift Request Table.
