How to Use the Manager’s Portal

Once you have the members of your team, you can now start managing your employees’

The Manager’s Portal is divided into three sections. The Dashboard, My Team’s Portal, and My Portal.

The Dashboard displays the daily statistics of your team’s attendance and requests.

  • For the Attendance Monitoring, you will see the total number of your team members, who among them are present for the day, who are absent, who among them are enjoying their rest day, and who are on leave.
  • The Dashboard will also show the employees’ log in and log out records with their designated shift schedules, and their daily status for attendance.
  • For the Requests Counter, you will see the pending employee requests that need your attention and approval. The requests that are included in this section are the Leave Requests, the Overtime Requests, The Change Shift Requests, and the Official Business Requests.

You can also check your own profile on the Manager’s Portal by clicking on the icon beside your name at the upper right part of your screen, and clicking on My Profile.

  • The Profile Summary will display your photo, name, job position, email, mobile number, and the department, branch, division, section, and cost center you are in.

You can also change your account password by clicking on the Change Password button under the Profile Summary.

  • Your Profile will display your personal information, and will be divided into six tabs, namely the General tab, the Dependents tab, the Education and Employment tab, the Trainings tab, the Memos tab, and the Contracts tab.
  • Under the General tab, you will see your Personal Information and Employment Information.
  • Under the Dependents tab, you will see the information of your children and other dependents.
  • Under the Education and Employment tab, you will see your educational attainment, educational institutions you went to, and your previous employment details.
  • Under the Trainings tab, you will see the list of all the trainings and seminars you attended.
  • Under the Memos tab, you will see all the personal and official communications that the company or HR department has sent you.
  • Under the Contracts tab, you will see all the service agreements and/or any legal documents regarding your employment.

Your Personal Profile can be downloaded or printed if needed, by clicking on the Download or Print icons above your profile information.

On My Team’s Portal, you will see all the features that can help you manage your team more effectively.

  • The My Team section will show you all the members of your team and a few information, such as their email address, phone number, the department and branch they are in, and their rest day.
  • The Daily Time Records (DTR) section will display the team members’ attendance records on a specific payroll cycle that the manager will choose.
  • The My Team’s Attendance table will show the employees’ names, branch, department and cost center designation, shift schedule, the total number of days the employee worked, and the number of days they were on leave, absent, late, worked undertime, and worked overtime.

The DTRs of the team can also be downloaded or printed by the manager if needed, by clicking on the Download or Print icons above the Attendance table.

  • You can see a more detailed presentation of the employees’ DTRs with all their log in and log out record for the whole cycle or date range by clicking on the Menu icon under the Details column.

The employee’s DTR table will also show the FaceDTR record of the employee, the number of regular minutes that the employee worked, the number of minutes they were late, worked undertime, overtime, and the minutes they work with night differential pay and/or night differential overtime. You can also see a more detailed view of the employees’ DTRs with all the types of overtime, night differential, and night differential overtime specified in the table by clicking on the Advanced View button on the upper right part of the screen.

You will also see a Legend under the employees’ DTR table, specifying which days in the payroll cycle are regular holidays, special holidays, rest days, or which ones the employee was on leave.

  • The DTR section of My Team’s portal also allows the manager to customize the Attendance table. This can be done by clicking the Advanced Settings icon on the upper right part of the screen. The manager can choose to make the branches, departments, and cost centers visible on the table. The manager can also choose to allow member signup, user feedbacks, and enable the customer portal.

The manager can also choose whether the DTRs will show employees’ records per cycle, or if the date range can be customizable.

  • The Leave Applications under My Team’ Portal will show the team members’ leave requests. The Leave Request table will show when the leave request was filed, the name of employee who filed it, the leave type, the number of days and the dates that the leave will cover, the purpose of the leave, and the status. The table will also show what actions the manager can take, whether to approve them, disapprove, or leave them as pending.

The Leave Requests of the team can also be downloaded or printed by the manager if needed, by clicking on the Download or Print icons above the Leave Requests table.

  • Under the OT Requests and Approvals, managers can work on the rendered overtime of their team.
  • The Overtime Request table will show the employees’ names, branch and department designation, shift schedule, the number of overtimes rendered for the date range, and the total number of minutes of their overtime.

The Overtime Requests of the team can also be downloaded or printed by the manager if needed, by clicking on the Download or Print icons above the Overtime Requests table.

  • You can see a more detailed presentation of the employees’ overtime for the whole cycle or date range by clicking on the Menu icon under the Details column.

The employee’s Individual Overtime table will also show the date of the overtime, the number of regular minutes that the employee rendered, the purpose of their overtime, the status, the number of minutes of approved overtime, and the action that the manager can take – either to approve, or to disapprove the overtime rendered by the employees.

  • The OT Requests and Approvals section also allows the manager to customize the Overtime Requests table. This can be done by clicking the Advanced Settings icon on the upper right part of the screen. The manager can choose to make the branches, departments, and cost centers visible on the table. The manager can also choose to allow member signup, user feedbacks, and enable the customer portal.

The manager can also choose whether the Overtime Table will show employees’ records per cycle, or if the date range can be customizable.

Lastly, on My Portal, you will see all the features for your own records.

  • On My Dashboard, you will see a few information about your attendance, such as Missing Logs, the number of Minutes Late, the number of Unfiled Overtime, the number of Absences, the number of days you were present in their Attendance, and the Leave Days for the certain date range. You can manage the dates that the Dashboard Statistics will show on the Date Range field at the upper left part of the Dashboard screen.

My Dashboard will also show announcements and news from the SweldoMo Team.

  • The Daily Time Records (DTR) section will display your attendance records on a specific payroll cycle that you will choose.
  • Your DTR table will show your FaceDTR records, your log in and log out records with break hours, how many minutes you were late for the day, how many minutes you worked undertime, the total number of minutes you worked for the day, the total number of minutes you worked overtime, the total number of minutes you worked under night differential, and the total number of minutes of your night differential overtime.
  • You can also see a more detailed view of your DTRs with all the types of overtime, night differential, and night differential overtime specified in the table by clicking on the Detailed View button above your DTR table.
  • You will also see a Legend under the employees’ DTR table, specifying which days in the payroll cycle are regular holidays, special holidays, rest days, or which ones the employee was on leave.
  • You can also choose the date range that the DTRs will show by clicking on the Date Range field at the upper left part of the DTR table.
  • The DTRs can also be downloaded or printed if needed, by clicking on the Download or Print icons above the Attendance table.
  • The Payslip feature of the Manager’s Portal will show you your salary records for your chosen payroll cycles.
  • To generate your payslips, you need to provide the needed information by the portal. These will be the year, the payroll cycle ranges to be generated, and the payslip type. Once these details are provided, you can click on the Generate Payslip button.
  • For the Summarized View of the payslips, you will see a few personal information such as your employee ID number, your name, position in the company, the branch you are under, and the payroll period that the payslip is for. You will also see a list of your earnings, the total of these earnings, a list of your deductions and their total amount, and your Total Net Pay.
  • For the Detailed View of the payslips, you will see the same personal information, but with additional details such as the department you are under, your current employment stage, the payroll frequency set for you, your payment type, monthly rate, daily rate, and hourly rate.

The Detailed View of the payslips will also provide a list of your earnings, the total of these earnings, a list of your deductions and their total amount, and your Total Net Pay. It will also show a summary of your total earnings, total deductions, gross taxable deductions, total non-taxable, the net taxable, and the total non-income deductions.

  • The Leaves feature of the Manager’s Portal will show you all the leaves available to you, whether they are used, or still unused.
  • On the Leave Management Table, you will see the leaves you have already filed. The table itself will show the dates that those leaves were requested, the leave type, the number of days and the dates that were used for those leaves, the purpose for the leaves, the attachments that were added, a column to determine if the leave types you filed were paid or unpaid types of leaves, the status of each leave, and the actions you can take.

You can also choose the date range that the Leave Management Table will show by clicking on the Date Range field at the upper left part of the Leave Management Table.

The leaves can also be downloaded or printed if needed, by clicking on the Download or Print icons above the Leave Management table.

  • If you’d like to file for a leave, you can click on the File a Leave button above the Leave Management Table.

You will need to provide the type of leave you will file. Once you have chosen, the fields for the dates you will be out for work will appear for you to use. You will also need to provide the purpose of the leave, and some attachments if needed. Remember that only PDF and Image files will be accepted for the attachments.

Beside the Leave Application Form, you will see a table with all the available leave types you can use along with the credits for each leave, the number of credits you have used up, and the number of available credits left for you to use. You can use this table to review and make sure that the dates you will be out for work will be approved.

Once done, you can click the File this Leave button at the bottom of the Leave Application Form. The leave you filed will appear on the Leave Requests page of the SweldoMo system for Admin approval.

On the Manager’s Portal’s Overtime feature, you will see all the days you rendered extra time for work.

  • On the Overtime Table, you will see the exact dates wherein your attendance has recorded overtime. The table will show the date and time of overtime, the number of minutes of overtime you rendered, a field for the purpose of your overtime, the approval status, the attachments that will be added if needed, and a column for filing the overtime.
  • To file for your overtime, click on the File an OT button under Actions.
  • Tick the File this Overtime Checkbox.
  • Upload attachments if needed. Remember that only PDF and Image files will be accepted for the attachments.
  • You will see a minimized version of the HR Requests table beside the HR Requests Form as you are filing it.
  • Once done, click on the File Selected Overtime button. The request you filed will appear on the Overtime Requests page of the SweldoMo system for Admin approval

The HR Requests feature of the Manager’s Portal will show you all the requests you sent to your admin or HR Department.

  • On the HR Requests Table, you will see the requests you have already filed. The table itself will show the dates that those were requested, the type of request you sent, the purpose of the request, the attachments that were added, some remarks, the status of each request, and the actions you can take.

You can also choose the date range that the HR Requests Table will show by clicking on the Date Range field at the upper left part of the HR Requests Table.

The requests can also be downloaded or printed if needed, by clicking on the Download or Print icons above the HR Requests table.

  • If you’d like to file a request, you can click on the File a Request button above the HR Requests Table.

You will need to provide the type of request you will file. You will also need to provide the purpose of the leave, and some attachments if needed. Remember that only PDF and Image files will be accepted for the attachments.

You will see a minimized version of theHR Requests table beside the HR Requests Form as you are filing it.

Once done, you can click the File HR Request button at the bottom of the HR Requests Form. The request you filed will appear on the HR Requests page of the SweldoMo system for Admin approval.
